Knowledge Base & FAQs

Find instant answers organized by every stage of your vehicle shipment

1. Booking & Pricing
How are vehicle transport rates calculated?

Optixtrace pricing is based on five primary factors:

  • Total Distance & Route Density: Major highway corridors are more economical than remote rural locations.
  • Transport Equipment Type: Open transport is the baseline rate, while enclosed carries a 30–50% premium.
  • Vehicle Size & Weight: Larger SUVs, lifted trucks, and commercial vans take up more deck space and fuel capacity.
  • Operability: Inoperable vehicles require specialized winch equipment during loading.
  • Seasonal Demand: Peak routes (such as snowbird migration routes in spring and fall) fluctuate based on carrier availability.
What is the difference between door-to-door and terminal-to-terminal shipping?

Door-to-Door: The truck driver picks up and drops off your vehicle as close to your specified home or office addresses as safely allowed by local street sizing and low-hanging trees.

Terminal-to-Terminal: You drop off and pick up your vehicle at a secure regional Optixtrace logistics hub. This is standard for all Open Transport routes and can offer cost savings for flexible schedules.

What payment methods are accepted, and when is payment due?

We accept major credit cards (Visa, MasterCard, American Express), Electronic Funds Transfer (EFT), and certified bank drafts. A deposit or full prepayment locks in your dispatch window, with any remaining balance payable prior to final vehicle release.

2. Vehicle Preparation & Loading
How do I prepare my vehicle for transport?

Please follow these steps before your assigned pickup date:

  • Clean the Interior & Exterior: Allows for an accurate Bill of Lading (BOL) damage inspection.
  • Remove Personal Items: Loose items are not insured by transport carriers and should be removed.
  • Check Fuel Level: Keep the gas tank between 1/4 and 1/2 full to maintain safe trailer loading weights.
  • Disable Alarms & Toll Tags: Deactivate anti-theft systems and temporarily remove transponders to prevent unnecessary charges.
What are the requirements for non-running vs. running vehicles?

Inoperable vehicles must be able to roll, steer, and brake to be safely winched onto flatbeds or multi-car haulers. If your vehicle does not steer or roll, specialized crane or flatbed recovery equipment is required—please notify us directly via our custom quote form.

3. Service Types & Equipment
Which transport option should I choose for my vehicle?

We offer specialized equipment options depending on vehicle type and travel distance:

  • Open Transport: Ideal for standard daily drivers, SUVs, and fleet inventory.
  • Enclosed Transport: Recommended for luxury, exotic, low-clearance, and classic cars needing weather & dirt protection.
  • Rail Transport: The most economical option for long-distance cross-country routes over 1,500 km.
4. Tracking, Transit & Logistics
How long does vehicle shipping usually take?

Estimated transit times vary by route distance and shipping method:

  • Short Distance (under 800 km): 1–2 days
  • Medium Distance (800 – 2,500 km): 3–5 days
  • Cross-Country Road Haul (2,500+ km): 5–7 days
  • Trans-Canada Rail Route: 7–12 days
How does live GPS tracking work?

Once your vehicle is loaded, you will receive a tracking link. Use the provided link to view transit checkpoints, live GPS coordinates for road hauls, and updated ETA notifications.

5. Insurance & Claims
What insurance coverage is included during transit?

All Optixtrace network carriers carry mandatory motor cargo insurance. Standard open and rail carriers include up to $250,000 in cargo coverage per vehicle. Enclosed carriers carry limits ranging from $500,000 up to $1,000,000+ for high-value exotics. Supplemental policy extensions are also available upon request.

What is the procedure if damage occurs during transit?

Inspect your vehicle alongside the driver upon delivery before signing the final Bill of Lading (BOL). Any new damage must be explicitly noted on the driver's inspection report. Take photos immediately and submit your documentation directly to our team at claims@optixtrace.com within 48 hours for expedited processing.
